Expert Tips on Planning and Organizing an Office Move

Whatever your reasons for moving your business, two things are certain: it’s more complicated than moving into a new house, and you’ll need professional movers to do the heavy lifting. A solid plan keeps your business move as easy as possible. Here are some tips for planning and organizing your office move.

Collect Information About the New Office

Once the papers have been signed and the move-in date is finalized, you should start with collecting information about the new office space, such as blueprints, floor layout and plans for essentials like electrical outlets, storage and phone and internet cabling. Coordinate with carpet and furniture installers and the ISP and other service providers on their guaranteed completion dates. This should give you an idea of when you can start moving into your new office.

Eliminate Non-Essential Equipment

Take an inventory of everything: office equipment, furniture and consumables like printer paper and ink. Malfunctioning equipment will be a waste of space within the office mover’s trucks, so consider selling or disposing of them. Just have the replacement delivered to the new office. Update your suppliers with your new office address.

Create a Moving Timeline

Establish a timeline for your office move. Start marking off the major goals, such as taking inventory and completing the packing. A small office move can take at least three months to plan and execute, so you should be stringent with follow-ups from every department.

Delegate the Tasks

You’re not expected to do everything yourself. We recommend breaking down tasks and having one or two representatives from every department oversee their respective tasks through to completion. Managers and supervisors are expected to do this, but they can delegate the tasks to someone who can ensure its success. Each employee should be responsible for packing and labeling their own items. Do frequent, short catch-ups with each department to make sure they are meeting their deadlines.

Hire the Right Movers

Not all movers offer the same breadth of services, so don’t be swayed by a low quoted price. You need movers who have experience with commercial moving, which is important not just because of the sheer amount of equipment being moved, but also because they need to arrive in one shape.
