Moving into a new office can be a daunting task because there are simply so many factors to consider. What should you do first, apart from informing your employees about the aforementioned move? Do you start changing addresses already? Should you even start moving the heavy equipment? Which moving company can get the job done right?
Fret not because Around Town Movers has thought up a few tips to help you along the way.
1. Plan the Move Early – If possible, plan the move at least four to six months in advance to avoid sudden pressure. One of the planning processes also includes scoping out the new space as well.
2. Assign Duties to Everyone – To distribute the pressure equally, assign various tasks to several employees. This can range from packing up the heavy equipment to coordinating with movers to having employees pack up their own workstations.
3. Inform the IT Department – When it comes to moving offices, it’s paramount to inform your IT department because they won’t just be moving computers and migrating your internet connection. They also have to survey the new place to see if upgrades are required to get things in working order.
4. Update Your Address – Of course, with every move comes the responsibility of changing the address to ensure mail and other packages arrive at the correct place. Do this at least a week before the move, preferably even a month in advance. It’s also important to inform your clients because online listings can take a few months to update due to their confirmation requirements.
5. Labels – Labeling the boxes properly is important not only for the employees but also the movers. After all, everyone would like to avoid mix-ups with the equipment. It would no doubt be a nightmare if the equipment of one department suddenly wound up in the arms of another a few floors away from their own. Worse, it might accidentally be discarded because it was mistaken for clutter.
6. Get Rid of What Isn’t Needed – If any excess equipment no longer serves any purpose, such as unnecessary paper or furniture, then it may be in your best interests to discard or donate them instead of keeping them in storage. Donating furniture can even be included as a tax write-off so long as the accountants update the paper trail as you go.
7. Schedule Meetings and Deadlines Appropriately – As much as possible, avoid scheduling meetings or deadlines a week before the move. This allows you and your staff to focus on wrapping their things up while running the operations simultaneously.
8. Do Thorough Research – Of course, the holy grail of moving is finding a suitable moving company. Around Town Movers is the premier moving company in the area, and we can help you with your moving into a new office.
